Two seasons ago I watched a first AD hand out a call sheet with the wrong sunrise time printed on it. Half the grip truck showed up at 4:15 a.m. for a 6:40 a.m. window, sat in the dark for two hours, and the producer spent the rest of the day apologizing with coffee. That mistake wasn't a judgment failure. It was a template failure. A solid Call Sheet Template removes the guesswork and forces the numbers to be verified before anyone drives to set.
I've built call sheets for commercials, a 22-day indie feature, and a handful of two-person documentary shoots. The layout changes every time, but the underlying logic doesn't.
What a Call Sheet Template Has to Do
The document has one job: get the right people to the right place at the right time with the right equipment, and keep them fed while they're there. Everything on the page serves that goal or it's decoration.
Fields I never cut: sunrise and sunset, general crew call, first shot time, lunch target, weather with a real temperature range, parking instructions, and a named point of contact with a phone number. On the indie feature I learned to add "nearest hospital" to page one after a camera op gashed his hand on a follow-focus gear. It took 90 seconds to add a line and 40 minutes to find the address without it.
Format matters less than you think
Google Sheets, Excel, Canva, StudioBinder, or a printed half-sheet — the tool is not the problem. What breaks productions is a template that buries the call time in a wall of text. I keep general crew call in bold at the top, larger than anything else on the page.

Digital distribution wins on change management. When rain pushed our exterior scene on day 9, the production coordinator pushed an updated schedule to 31 phones in roughly four minutes. The two crew members who'd printed the sheet at 11 p.m. the night before showed up to a location we'd abandoned. Nothing fixes that except a phone call, so I still have the coordinator ring anyone who hasn't confirmed a read receipt.
Building the Call Sheet Template You'll Actually Reuse
Start from last shoot's paperwork, not from a blank grid. Reuse the header block, the crew list, and the contacts footer; rebuild the schedule section fresh, because scene order rarely survives contact with reality.
Lock the formulas. If sunrise is calculated from a date cell, changing the shoot date should update it automatically. I broke this rule once and printed sheets for the wrong day on a three-day pickup shoot. Nobody caught it because the header date looked plausible.
Leave space for a notes column next to each crew member. That's where I flag "no car, needs ride from base," which is the single most useful line on the whole page.
⚠️ Note: Never distribute a call sheet before confirming that stunt and special-effects contacts appear on page one. On union shoots, second meal penalties start at six hours, and those times need to be visible to whoever handles the paperwork.
Call Sheet Template Mistakes I Keep Seeing
Vague addresses. "The warehouse on 5th" means nothing at 5 a.m. in a city with four warehouses on 5th. Full street address plus a pin drop link.
Missing contingency. Weather backup plans belong on the call sheet, not in a producer's head.
Stale contact lists. Crew turn over constantly and numbers get recycled. I run a quick text verification round the day before every shoot.
Templates get better with use, and the improvements are usually tiny additions born from one bad day. Add the hospital. Add the parking pass instructions. Add the wifi password for the production office. After a few productions, your call sheet starts reading like an instruction manual written by someone who has already made the mistakes, which is exactly what a crew wants to receive at 9 p.m. the night before.
